The meeting was able to proceed as there were eight attendees, enough to form a quorum, 7 of which were Officers and Office holders of Hampshire Athletics.
Minutes from Meeting on 11 May 2012:
Re. Change of venue for T & F Championships 2013 and onwards: Michael Coker felt very strongly that tenders should be obtained regarding the cost of hire of the other tracks in the county, this is something that he will undertake to action.

UK CAU AGM will take place on 25 August, Bedford.
Details of Inter Counties at Bedford on 25/26 August received, this has been passed onto the relevant team managers.
Email received from Brian Fisher. Following the tremendous achievement of the U15's at this years' Inter Counties, a double first for the boys and girls, Brian has requested that a personal trophy/medal is presented to the 17 competing Athletes. This was agreed with a £50 limit. Mike Williams will reply to this email, congratulating the athletes and also thanking Brian.

We currently have a very rosy picture (as at 9/7/12)
Current account: £11,001.41
Deposit account: £14,825.30
Total current funds: £25,826.71
Current income over expenditure: £10,052.41
- Clearly this is a very pleasing picture to see, especially following the main championships.
- This has been boosted by the £5,000 from our partner Saucony.
- The XC champs made a £1,350.34 surplus.
- The Sportshall League made a £1365.80 surplus.
- The T&F/Multi event (not 10k) Champs made a £4118.82 surplus.
- I personally feel uneasy having such a large surplus and if at the end of the year we continue at this rate, I suggest we review our finances.
- We do still have the £6500 to pay to HCC, but as yet have not received the £5000.
- The only competitions left are the various inter counties, so our expenditure will be relatively little now.
- Also, we will see a this year a slight movement in the accounts as the cross country entries which have traditionally been held until the new year will be earlier as I hope we will be able to start using an electronic payment system. Clearly this needs to be discussed more with Pam and WADAC who may be able to offer us a free payment system.
- The increased use of BACS though Internet banking has really cut down the paperwork and made the payment system much more efficient and easier to keep a check of.
- I am a little concerned that as Treasurer, I was not invited to the Finance and Sustainability meeting and have not seen any feedback or minutes. This may be something an oversight, but one which I feel needs addressing.
Finance and Sustainability Sub Group: Michael Coker
The next meeting will be held in August, and the sub group to ensure that Steve Squires is invited.
'The Saucony Hampshire Grand Prix' taking place in Basingstoke on the 18 July is on track to be a huge success with over 430 entries received so far. Michael also reported that 19 of our Hampshire Technical Officials who will be working at 'The Olympics' will be assisting at The Grand Prix event.
Cross Country Championships 5 January 2013: Pam Rogers - Championship Secretary
Pam Rogers and Colin Goater are liaising with John Osman from Eastleigh RC regarding the possibility of staging the January Championships in Eastleigh; John will be consulting with ERC Committee. Pam will be updating HA at the meeting in September.
Pam will also be contacting Richard Dean regarding the suggestion from Steve Squires that an electronic payment system is introduced for entries. Pam will also be speaking to Steve regarding this suggestion.
2012 Track & Field Championships Report: Alan Ive - Championship Secretary
Entries for the main championships, which had shown a healthy increase the previous year, were slightly down, mostly due to a dramatic drop in the Under 13 Boys (matching last year's increase).
On the female side, there have been steady increases in the Under 13 and Under 15 Girls and a steady decrease in Under 17 Women over the last four years, perhaps highlighting a retention problem. Also notable was a large reduction in Under 20 Women from last year.
For the Combined Events, we had over 60 entries, which, although good, is a drop from the record 2011 figure. Representation in the older age groups was generally poor.
The Under 11 "QuadKids" competition numbers were down on the 2011 entry, possibly due to the weather.
Following a break last year, the 10km road race was run again. Apart from the problems caused by my error in not procuring waterproof numbers, it should be pointed out that a heavy burden was placed on the shoulders of a few individuals on the day. If the race is to continue (it makes a substantial contribution to the County's revenue at the Championships), it is vital that this issue is addressed.
I must thank everyone who has helped in making these events such a success and especially Richard Dean and Chris Weeks.

*Alan Ive is stepping down as T & F Championship Secretary; he has done a tremendous job and the secretary to send Alan a letter thanking him for all his hard work over the last seven years.
Steve Squires has agreed to take on this role and Christine Weeks, Mary Goater, Pam Rogers and Michael Coker have volunteered to assist on the sub group. Awaiting recommended dates from UKA for 2013.
Graeme Lowndes is waiting for confirmation of the date for the International XC Championships held annually in Coutances, France.
Road Running: Colin Goater - Road Running Secretary to Executive Committee
At the May AGM of the Road Running Sub Committee it was decided that from January 2013 Hampshire would not be staging Road Race Championships in conjunction with established races. Instead individual performances achieved in any recognized road race would be considered for a Best Performance Award within the Calendar year. This would apply to all age categories and has already proved most successful in the Marathon.
Also the following races were selected to host the 2012/13 Hampshire Road Race League:
- Victory 5 miles 16th September
- Solent Half Marathon 14th October
- Lordshill 10 miles 4th November
- Gosport Half Marathon 18th November
- Stubbington 10k 20th January 2013
- Ryde 10 miles 3rd February
- Bramley 20 miles February TBC
- Eastleigh 10k 24th March
- Alton 10 miles May 12th
- Netley 10k 19th May
The next Road Race Meeting would be held on 10th September at Fleming Park commencing 7.30pm

The constitution has now been updated by the admin secretary, and has been duly signed by the Secretary and Chairman. It was agreed at the AGM that we will now be known as Hampshire Athletics. The only other change throughout the document was to replace the word association with governing or organisation. The updated document will also be available to download from the county website shortly.
